Because the limit is <em>rows \u00d7 columns<\/em>, a wide sheet hits the wall surprisingly early. Smartsheet\u2019s own docs note that \u201ca sheet with 400 columns can only have 1,250 or fewer rows,\u201d and \u201ca sheet with 20,000 rows can only have 25 or fewer columns.\u201d A 40-column operations tracker runs out of room at roughly 12,500 rows.<\/p>\n<p>When you cross that line, Smartsheet returns a cell-limit error and the practical fix is to <strong>split the sheet<\/strong> \u2014 archive old rows to a second sheet, or move columns out and pull them back with cross-sheet references. That trades one problem for a more fragile, harder-to-use topology (and runs straight into the cross-sheet reference limits below).<\/p>\n<p><strong>The part most comparisons miss:<\/strong> Smartsheet <em>does<\/em> offer a path past 500K cells \u2014 \u201clarge-scale sheets,\u201d which reach up to 1,000,000 cells \/ 50,000 rows. You write <code>[Sheet]!A1<\/code> inline \u2014 autocomplete fires the moment you type <code>[<\/code> and suggests every sheet in your project \u2014 with no reference-picker modal and no 100-cross-reference-per-sheet cap to ration:<\/p>\n<pre><code>=SUM([Sales]!A1:A100)<\/code><\/pre>\n<p>Cross-sheet references are scoped to the project (the trust boundary), and the per-sheet allowance is generous: <strong>200 cross-sheet references on Pro and 500 on Business<\/strong>. These limits are enforced in the shipped product.<\/p>\n<p>Compare that to Smartsheet, where a cross-sheet reference is a named object you create through a \u201cManage References\u201d picker, and a sheet can hold <strong>no more than 100 distinct cross-sheet references<\/strong>. There are tighter rules underneath: a reference range maxes out at 100,000 inbound cells, large-scale sheets can\u2019t be referenced at all, and hierarchy functions (<code>CHILDREN<\/code>, <code>PARENT<\/code>, <code>ANCESTORS<\/code>) throw <code>#UNSUPPORTED CROSS-SHEET FORMULA<\/code> when they point at another sheet. So the moment you split a too-big sheet to beat the cell cap, you can also lose your rollups.<\/p>\n<h2 id=\"collaboration-who-wins-when-two-people-edit-the-same-row\">Collaboration: who wins when two people edit the same row?<\/h2>\n<p>Smartsheet is save-based, and its documented behavior when two people edit the same cell at once is last-write-wins: <em>\u201cthe cell displays the last saved change.\u201d<\/em> There\u2019s no live merge and no conflict prompt \u2014 you find out your edit is gone when you happen to reopen the cell, and your only recovery is Cell History, one cell at a time. There\u2019s no live sync either; you refresh to pull in a collaborator\u2019s saved changes.<\/p>\n<p>Wisegrid keeps the same simple save model \u2014 no steep learning curve, no real-time-cursor complexity to fight \u2014 but adds two things Smartsheet doesn\u2019t have:<\/p>\n<ol>\n<li><strong>A change banner.<\/strong> When a teammate saves, you see <em>\u201cJane saved changes to this sheet \u2022 Refresh.\u201d<\/em> Informational, never blocking.<\/li>\n<li><strong>Per-row conflict detection.<\/strong> Every row carries a version number. If you try to save a row someone else changed since you loaded it, you get a side-by-side diff \u2014 <em>your change<\/em> vs <em>the current value<\/em> \u2014 and choose Keep mine \/ Use theirs \/ Merge. This is the single demo most Smartsheet refugees react to \u2014 and it\u2019s why <a href=\"\/blog\/collaborative-spreadsheet-edits-disappear\">edits quietly disappear in ordinary shared spreadsheets<\/a> but not here.<\/p>\n<h2 id=\"pricing-model\">Pricing model<\/h2>\n<p>Both products use per-user tiers (Pro \/ Business, plus Enterprise on Smartsheet). Wisegrid\u2019s deliberate choice is <strong>not<\/strong> to undercut on price \u2014 it\u2019s to match Smartsheet\u2019s price points and give you more at each one: more cells, more rows, more cross-sheet references, more included collaborators. \u201cSame price you already pay, more of everything.\u201d<\/p>\n<p>One specific Smartsheet cost that drives a lot of switching is its <strong>User Subscription Model<\/strong>: a free Contributor who edits a shared item can trigger \u201cprovisional membership,\u201d which converts to a billable seat at the next true-up unless an admin downgrades it in time \u2014 a recurring chore and a source of surprise charges. Two things make that fear rational with Smartsheet specifically:<\/p>\n<ul>\n<li><strong>Smartsheet\u2019s own export loses data.<\/strong> Per its documentation, exporting a sheet to Excel\/Google Sheets doesn\u2019t preserve formulas (you get values only), excludes attachments, groupings, and summary rows, and flattens dropdown \/ contact \/ checkbox \/ symbol columns to plain text. Gantt charts export as a flat task list. (Comments <em>do<\/em> export to a separate tab \u2014 we won\u2019t claim otherwise.)<\/li>\n<li>So a manual move means rebuilding formulas, re-uploading files, and recreating column types by hand.<\/li>\n<\/ul>\n<p>Wisegrid\u2019s importer is built to avoid exactly that. You paste a Smartsheet API token; we discover your full landscape, <strong>translate Smartsheet formulas to Wisegrid syntax<\/strong>, and mirror sheets, rows, columns, cells, attachments, hierarchy, and cross-sheet references. Anything the formula translator can\u2019t handle lands in a review queue with the original and our best-guess translation, so nothing changes silently. Reports, Dashboards, Forms, and Automations aren\u2019t imported yet \u2014 they\u2019re surfaced with a \u201cnotify me\u201d option so you know exactly what\u2019s pending.<\/p>\n<p>In a test migration we ran through the importer, it mirrored <strong>4,863 rows across 14 sheets<\/strong> \u2014 with attachments preserved \u2014 and flagged just <strong>5 formulas, 2 columns, and 1 cell<\/strong> for manual review.
